Role overview:

 

To reconcile international carrier invoices and to identify and implement initiatives that will reduce costs and maximise revenue.

 

For the right candidate this role provides a platform to grow within the finance function and take on extra responsibility as they grow within their finance career.

Responsibilities

International Charging

  • To work with the International team and carriers to understand and document the carrier invoicing process
  • To reconcile at barcode level the international volume invoiced by carriers with the volume reported from Hermes UK systems and to liaise with the carriers to understand, explain or resolve any differences
  • To verify the rates invoiced by international carriers prior to invoice approval and to dispute and resolve any discrepancies
  • To identify and implement initiatives that will reduce the international cost and maximise revenue from clients
  • Identify surcharges incurred by carriers, process barcodes and invoice the charges to the relevant clients
  • Assist in supporting the international team with ad-hoc requests
  • Track the costs we receive and communicate current CPUs to the international team.
  • Organise and take ownership of the receiving, filing and processing of all international invoices ensuring we are charged correctly, reconciliations are accurate and the invoices are approved in a timely manner
  • Understand where to locate data and pull together the correct sources to provide a platform of information in which stakeholders can use for reporting and analysis

Objectives Tracker

  • Prepare and complete accurately the sales teams personal selling objectives tracker, checking for achievement, recording monthly volumes and incomes, adding in additional objectives
  • Record the client managers’ performance portfolio actuals and forecast figures monthly, to tie back to the commercial report

Contract Enforcement

  • To work with other members of the Finance team to apply clauses in client contracts to increase revenue. Examples include implementing annual rate reviews, fuel surcharges, geographical surcharges, parcel audit clauses, the exchange rate clause and policing contracted minimum volumes
  • To own and keep up to date the RPI rate review Masterfile, contract database and prepare the clients rate review letters, and seek ways to improve the process (e.g. Mail merge)
  • To own Fuel Surcharges enforcement, calculating and preparing the supporting schedules for invoices/credits due and to work with the billing team to ensure we are invoicing/crediting them correctly
  • To use the Accord legal database to pull reports as and when required by Finance members. Examples include Rate reviews coming up/completed, minimum volume reports.  Analysis using output of reports

Qualifications

  • Work with a high standard of accuracy and attention to detail
  • Excellent organisational, analytical and problem solving skills
  • Strong communication skills and a ‘can do’ attitude
  • Comprehensive knowledge of Microsoft Excel, including knowledge of formulas and data manipulation (sumif, vlookup, pivot tables, etc)
  • Ability to prioritise and manage workloads with tight deadlines
  • Relevant analytical experience
  • A seeker of actively finding ways to improve processes
  • Have a professional attitude to all aspects of work
